Trakr: Multi-site Audit & Compliance Platform

Trakr is my own product. It is a multi-tenant SaaS platform that I developed, and launched into a private beta with a select group of design partner clients.

Audit. Prove. Resolve. Trakr is an enterprise-grade multi-site audit and compliance platform designed to standardise operations. Administrators define a single operational standard, field auditors verify compliance on-site using mobile devices, and branch managers formally sign off on every result. Designed and engineered entirely from the ground up, Trakr is currently live in private beta.

The problem

Consider an operations lead managing forty distinct branches, ostensibly operating under a single checklist, though usually relying on half a dozen fragmented paper versions. Auditors tick boxes on clipboards, capture hazards like blocked fire exits on personal smartphones, and frequently neglect to submit documentation. Spreadsheets report a 92% compliance rate, yet the underlying metric remains opaque. Formal sign-offs are reduced to informal WhatsApp approvals. When a branch inevitably fails an official inspection, teams cannot produce audit trails, verify approvals, or confirm whether corrective actions were ever implemented.

The product

Trakr establishes a single, accountable workflow across every physical location. Administrators publish versioned checklists that auditors execute on-site with mandatory photographic evidence. Every location is evaluated against identical criteria, and branch managers must formally approve results or return them with documented rationale.

One standard, versioned

Publishing a revised template automatically generates a new version. Audits currently in progress remain locked to the specific version they initiated with, preserving historical integrity.

Evidence travels with the answer

Photographs and operational notes attach directly to relevant sections—functioning seamlessly even offline—and upload reliably the moment network connectivity is restored.

Every branch is measured through a uniform scoring model, ensuring locations across different regions operate on a truly equitable scale.

A signature closes the loop

Managers validate results with a verified signature, or reject them with a mandatory written justification that immediately generates a follow-up task for the auditor.

The product in five steps

Configure templates

Construct comprehensive checklists featuring distinct pages, custom question types, and flexible schedules ranging from daily to quarterly intervals. Publishing creates an immutable new version, allowing operational standards to evolve without altering the history of past audits.

Run audits on site

Optimised for single-thumb navigation while walking the floor, featuring large Yes/No/N/A targets, mandatory validation flags, and section-level photography. Data saves dynamically, and media files queue safely on the device until a connection is available.

Score and report

Every audit concludes with a definitive completion status, an accurate compliance score, and a print-ready approval block. Submissions are strictly restricted until all required parameters are fulfilled.

Approve reviews

Managers can thoroughly examine all responses, comments, and media before signing using a saved signature image, typed name, or direct drawing. Rejections require a documented explanation and route instantly back to the assigned auditor.

Track history

Filter historical audit data effortlessly by template, branch, status, and date. Analytics aggregate seamlessly by branch, regional zone, and auditor, complete with professional PDF and CSV export capabilities.

Design decisions

Auditors operate on their feet, frequently working one-handed in storage areas with zero cellular connectivity. Every architectural decision was built around these constraints.

Evidence belongs to the section, not the question

A single photograph of a stockroom can successfully satisfy multiple criteria, enabling auditors to maintain momentum. Strict validation checks prevent redundant per-question photo requirements from re-emerging.

N/A is an answer, not a loophole

Selecting Not Applicable requires a mandatory operational justification, and administrators retain full visibility into how this option is utilised.

Finished and good are different things

Completion metrics and compliance scores are displayed side by side, ensuring a thoroughly executed audit cannot inadvertently mask a failing location.

Work survives a bad signal

Media files are compressed directly on the device, queued securely during offline operation, and synchronised precisely once network connectivity returns.

Explain the no

Branches unable to complete an audit cycle must document the reason rather than simply disappearing from the system. Every empty state actively guides users toward their next required action.

A shipped product, not a concept

Trakr was architected as a multi-tenant platform from its very first database schema. Every data row explicitly carries its organisation ID, and database-level security policies enforce strict read and write boundaries independently of application code.

Private evidence. Photos and signatures are housed in isolated private storage containers, segregated strictly by organisation and accessed exclusively via short-lived, cryptographically signed URLs.

Watched around the clock. Protected by automated nightly backups with continuous replication, health checks every five minutes, and advanced error tracking with real-time Slack alerting.

The stack. Built on a modern, high-performance foundation utilising React, TypeScript, Vite, Tailwind CSS, and TanStack Query. Powered by Supabase for PostgreSQL management, authentication, secure storage, edge functions, and scheduled automation, deployed via Vercel and GitHub Actions.
